Privacy Policy

STERLING SHUTTLE AND TOURS LLC | Effective 9/2/26

This Privacy Policy explains how Blue Star Enterprises, LLC, doing business as Sterling Shuttle and Tours, LLC, ("Sterling," "we," "us," or "our"), collects, uses, discloses, retains, and protects personal information. It applies to our website, booking process, communications, transportation services, tours, charters, events, and related customer interactions (collectively, the "Services").

1. Information we collect

Depending on how you interact with us, we may collect:

Contact and identity information, such as name, mailing address, email address, telephone number, age or date-of-birth information when needed to confirm eligibility, and identification information when required by law or a destination.

Booking and trip information, such as passenger names, pickup and drop-off locations, itineraries, travel dates, group relationships, preferences, special requests, waiver or terms acceptance, and booking history.

Payment information. Our booking and payment providers process card and bank information. Sterling generally receives transaction details, payment status, billing contact information, and limited card information rather than a complete payment-card number.

Safety, accessibility, and emergency information that you choose or need to provide, such as mobility-device details, accommodation requests, child-restraint needs, allergies relevant to an included meal, emergency-contact information, or incident reports. Some of this information may be sensitive personal data.

Communications, including emails, texts, telephone inquiries, surveys, reviews, complaints, and other messages you send us.

Website and device information, such as IP address, browser and device type, pages viewed, referring source, approximate location derived from an IP address, and cookie or similar technology data.

Photographs, video, audio, testimonials, and social-media content only as described in Section 7. Promotional use of an identifiable passenger requires separate affirmative permission.

Operational and safety records, which may include trip manifests, driver notes, lost-property records, and vehicle or exterior-facing dash-camera footage if Sterling uses such cameras and provides legally required notice.

2. How we use information

Provide, schedule, customize, confirm, charge for, and support the Services;

Communicate about reservations, pickup changes, delays, cancellations, safety matters, and customer-service issues;

Arrange requested accommodations, child-restraint planning, meals, tickets, admissions, or other trip components;

Maintain trip manifests, respond to emergencies, investigate incidents, locate lost property, and protect passengers, drivers, Sterling, and the public;

Process payments, refunds, credits, chargebacks, accounting, insurance matters, and legal obligations;

Improve our Services, website, routes, offerings, training, and customer experience;

Send promotional email or text messages when legally permitted and honor opt-out requests; and

Use photographs, recordings, or testimonials for marketing only when the person—or a parent or legal guardian for a minor—has provided the separate permission described in Section 7.

3. Sources of information

We collect information directly from you; from the person organizing or paying for your group; from booking, payment, website, communication, and analytics providers; from retirement communities, employers, or organizations arranging transportation; from venues and other trip partners; and from public sources when reasonably necessary. A group organizer should provide only information the organizer is authorized to share and must make this Policy available to the passengers.

4. When we disclose information

We may disclose only the information reasonably necessary to the following categories of recipients:

Booking, payment, website-hosting, cloud-storage, email, text-messaging, analytics, and customer-support providers that perform services for us;

Drivers, substitute carriers, guides, venues, attractions, restaurants, hotels, ticket providers, and other trip partners when needed to perform a reservation or requested service;

Professional advisers, insurers, brokers, accountants, attorneys, auditors, and financial institutions;

Government agencies, courts, regulators, emergency responders, or law enforcement when disclosure is required or permitted by law or reasonably necessary to protect health, safety, rights, or property; and

A buyer, successor, lender, or adviser in connection with a proposed or completed merger, financing, sale, reorganization, or transfer of all or part of Sterling, subject to appropriate protections.

Sterling does not sell personal information for money. Sterling does not use passenger information for targeted advertising across unrelated websites and does not knowingly sell personal information about children or teenagers. If these practices change, we will update this Policy and provide any notice, consent, or opt-out right required by law.

5. Cookies and website analytics

Our website and booking service providers may use cookies and similar technologies for security, essential website and booking functions, remembering preferences, measuring performance, and analytics. You may adjust your browser settings to limit cookies, although parts of the website or booking experience may not function properly. If Sterling Shuttle and Tours later uses advertising cookies or targeted-advertising technology, we will update this Policy and provide any legally required choice mechanism before doing so.

6. Marketing communications

We may send reservation and service messages that are necessary to administer a trip. With consent where required, we may also send news, offers, or trip announcements. You may unsubscribe from promotional email by using the unsubscribe link and may opt out of promotional texts by replying STOP. Opting out of promotions does not stop essential booking, safety, or transactional communications. Message and data rates may apply.

7. Photographs, video, testimonials, and marketing

Sterling may take photographs or video during a trip, but will use an identifiable passenger in advertising, social media, brochures, the website, press materials, or other promotional content only after obtaining separate affirmative permission from that passenger or, for a minor, the minor’s parent or legal guardian. Declining permission will not affect price, service, or eligibility to travel.

A person who previously granted permission may withdraw permission for future uses by contacting us as provided in Section 14. We will stop new uses within a reasonable period. Withdrawal cannot require Sterling to recall printed materials already distributed, undo completed campaigns, or control copies independently reshared by third parties before withdrawal. Sterling will not use passenger media for facial recognition, biometric identification, or training an artificial-intelligence model without separate, specific consent.

8. Sensitive information and accommodations

We limit collection of sensitive information to what is reasonably necessary for safety, accessibility, legal compliance, or a requested Service. We do not use accommodation, health, identification, precise-location, or emergency information for promotional profiling. We will request consent where required by law and will restrict access to personnel and providers who reasonably need the information.

9. Children and teenagers

Our website is directed to adults who make reservations. A parent, legal guardian, or authorized group organizer should provide information about a minor. We do not knowingly use personal information from a child under 13 for online behavioral advertising, and we do not knowingly sell personal information about anyone under 16. A minor’s identifiable image will not be used for marketing without written permission from a parent or legal guardian. If you believe a child supplied information without appropriate authorization, contact us so we can review and delete it where appropriate.

10. Data retention

We retain information only as long as reasonably necessary for the purposes described in this Policy, including providing Services, maintaining business and tax records, handling insurance and legal matters, resolving disputes, enforcing agreements, and complying with law. Retention periods vary by record type. When information is no longer reasonably needed, we will delete it, deidentify it, or securely dispose of it, subject to backup and legal-retention requirements.

11. Security and data-breach response

We use reasonable administrative, technical, and physical safeguards appropriate to the nature and volume of the information we maintain. No security system is guaranteed to be completely secure. If a security breach occurs, Sterling will investigate and provide notice as required by applicable law.

12. Your privacy choices and rights

Subject to applicable law and verification, you may ask Sterling to provide access to, correct, delete, or provide a copy of personal information about you. You may also withdraw consent where processing is based on consent, opt out of promotional communications, and request information about categories of third parties to which we disclose personal information. If Oregon’s Consumer Privacy Act applies to Sterling or to a particular request, eligible Oregon consumers may exercise the rights provided by that law, including any applicable right to appeal a denial.

Submit a request by emailing patricia@sterlingshuttle.com or writing to the address in Section 14. Describe the request and provide enough information for us to reasonably verify your identity. An authorized agent may submit a request where permitted. A parent or legal guardian may submit a request on behalf of a child. We will not unlawfully discriminate against you for exercising a privacy right. If we deny an appealable request, you may appeal by replying “Privacy Appeal”.

13. Third-party websites and services

Our website, confirmations, and itineraries may link to independent venues, booking platforms, payment processors, social-media services, or other third parties. Their privacy practices are governed by their own notices. Sterling is not responsible for an independent third party’s privacy practices, but we encourage you to review them.

15. Changes to this Policy

We may update this Policy as our Services, providers, or legal obligations change. The Policy in effect at the time information is collected generally governs that information unless applicable law permits or requires otherwise.
